One platform, from the devices in the room to each person's screen

Three layers on one dataset: room devices, hotel operations and user-facing apps.

Three layers

From device to user

Layer 3

Apps

Front desk, managers, staff, guests

  • Operations web
  • Staff app
  • Guest app
Layer 2

IHMS and operations

One dataset for rooms, stays, tasks and folio

  • Room map
  • Control
  • Front desk, reservations
  • Folio
  • Housekeeping
  • Engineering
  • Stores
  • Services
  • Reports
Layer 1

Room devices

Source of real status

  • HDL RCU
  • TingEdge
  • Key cards, doors
  • Sensors
  • Lights, curtains
  • Air conditioning
  • Door locks
One datasetNo re-entering between departments, and no syncing between two systems.
Screens

Each user's real screen

Web for the front desk and managers, apps for staff and guests. The same room data.

Operations hub

Every department starts from the real-time room map: which rooms have guests, are ready to welcome one, need cleaning or have alerts.

  • Filter by building, floor, room class and status
  • Open a room's detail to control it and view its history
  • Requests from guests and staff appear as a work list
TingHotel room map

One room, all the information

The guest in the room, related bookings, devices, temperature and the action log: all on one screen.

  • Control lights, air conditioning and curtains for each room
  • Bulk control by floor or room class
  • A log of who did what and when
Room detail

Staff receive tasks on their phones

Housekeeping and engineering receive tasks, report progress and inspect rooms right on the phone.

  • Task list by shift
  • Update cleaning status
  • Send a maintenance request

Guests control the room and call services themselves

Guests enter the app with a phone number and a one-time code, control the room, call services and order food.

  • Control lights, air conditioning and curtains
  • Shop, food ordering, cleaning requests
  • Identity and service requests

One stay

How a guest moves through the platform

The same stay, with each step done by a different department but all sharing the same data.

  1. Step 1

    Reservation

    • Front desk
    • OTA

Booked directly, through an OTA or as a group. Rate classes, cancellation policy and daily inventory decide which rooms are still for sale.

Room not changed, inventory goes down
  2. Step 2

    Room assignment

    • Front desk
    • Housekeeping

The front desk picks a room that has been cleaned and accepted. A room assigned in advance can be pre-cooled before the guest arrives.

    Pre-cool before the guest arrives
  3. Step 3

    Check-in

    • Front desk

Documents, stay notification and deposit. Once done, the room runs the welcome scene and the guest enters the app with a one-time code.

The Welcome scene runs through the RCU
  4. Step 4

    During the stay

    • Guests
    • Housekeeping
    • Engineering

Charges go to the folio, the guest calls services from the app, and housekeeping cleans according to card, door and DND status. Incidents and SOS reach the right person on shift.

Card, door, DND and SOS reported second by second
  5. Step 5

    Check-out

    • Front desk
    • Housekeeping

Collect payment and close the folio. The room goes to needs-cleaning, creates tasks for housekeeping, and in-room devices go to energy-saving mode.

    Devices go to energy-saving mode
  6. Step 6

    Night audit

    • Night audit

Post room charges, handle no-shows and close the business day. Figures go into reports and clean data for accounting.

The day's figures go into reports and clean data
Operational modules

Nine modules on one dataset

Every module reads real room status from the RCU, so the front desk, housekeeping and engineering do not re-enter data for each other. The full list is on the Features page.

Essential - 59 features

Front desk and reservations

Room classes, rates, cancellation policy, daily inventory, hourly rental, groups, check-in and check-out, night audit and stay notification.

Essential - 42 features

Folio, cashier and receivables

Post charges by transaction code, take payments and deposits, move charges to a company folio, cash drawer and cashier handover, and approved, logged adjustments.

Essential - 61 features

Housekeeping, shifts and working hours

Cleaning lists from real room status, task assignment, acceptance, shifts and timekeeping, and clean hours exported for payroll.

Essential - 24 features

Engineering and maintenance

Incident tickets, assets, periodic maintenance and contractors. In the Pro plan, alerts from rooms create tickets by themselves and go to whoever is on shift.

Pro - 33 features

Stores and minibar

Stock in and out, stocktakes, linen, housekeeping supplies, minibar, average cost and purchase suggestions by minimum stock.

Essential - 19 features

Services and points of sale

Catalogue of goods and services, food ordering, laundry, shuttle, with charges posted straight to the room's folio.

Essential - 9 features

Security

SOS button, door left open, master cards, lost property, evacuation, access log and alert escalation by level.

Pro - 15 features

OTA channels

Rate and inventory sync through a channel manager, allotment by channel, limits, and reconciliation of OTA commission and receivables.

Essential - 8 features

Reports and clean data

Occupancy, ADR, RevPAR, night audit reports, and clean data exported for accounting, e-invoicing, HR and stores.

Connection

Connect to the systems the hotel already has

A hotel rarely starts from zero. The platform is designed to add on, not to force replacing everything at once. Details are on the Integrations page.

01

PMS in use

The room control layer works with the existing PMS through a FIAS-style bridge or an API, depending on what the PMS supports. You can start with the rooms and move the operations later.

02

Building electromechanical equipment

BACnet/IP, Modbus and KNX add-ons for central air conditioning, pumps, electricity and lifts. Rooms without an RCU have their own add-on for stay interlocking.

03

Sales channels

Channel manager and OTAs from the Pro plan. Allotment and limits by channel to limit overselling.

04

Accounting, invoicing, HR

TingHotel exports clean data for specialist software. The Enterprise plan has an e-invoicing connector. API, webhook, MQTT and MCP are add-ons.

Start

Three ways to start

Choose a starting point by your current situation, then upgrade when needed. Plans and detailed prices are on the Plan comparison and Pricing pages.

Option 1

Room operations layer only

Keep your current PMS. Install HDL RCUs and use free IHMS: room map, control, alerts, and TingEdge and RCU management. Buy add-ons when needed.

Option 2

Replace the PMS with the Essential plan

Front desk, folio, housekeeping, engineering and security run on the same data as the RCUs, with no more double entry.

Option 3

Pro and chains

The Pro plan adds stores, OTA channels and management reports. The Enterprise plan adds multiple hotels, dedicated infrastructure, the e-invoicing connector and service commitments.

FAQ

Questions about the platform

How is TingHotel different from ordinary hotel management software?
Ordinary software relies on staff pressing room status. TingHotel receives door, card and sensor signals from the RCU, so the status reflects the real room, and control commands live in the same system.
Do we have to use HDL room controllers?
The room operations layer is designed for HDL RCUs. For rooms without an RCU, the Rooms without an RCU add-on supports some stay interlocking through electromechanical equipment, for example air conditioning on BACnet.
Can the hotel still operate when the Internet is down?
Room control by card and door runs on the RCU by itself, and TingEdge keeps processing on site and sends data later when the network returns. The guest app and remote access go through the central server, so they are interrupted.
Which devices does it run on?
The web runs in a browser with no installation. Staff and guests use the apps on their phones. The interface is available in three languages: Vietnamese, English and Chinese.
Can we use just the free version?
Yes. IHMS is free when using from 30 HDL RCUs and at least 1 TingEdge, and you can buy add-ons without a paid plan.
Where is the data stored?
By default on the platform operated by HDL Vietnam. The Enterprise plan allows running on the owner's own infrastructure.
